Job Description

As the Office Manager and Bookkeeper, you will play a crucial role in ensuring the smooth functioning of our administrative and financial operations. You will be responsible for managing day-to-day office activities, maintaining financial records, and providing administrative support to various departments within the company. Responsibilities may vary at the discretion of the owner or farm managers and include, but are not limited to:

Key Responsibilities:
1. Financial Management:
• Manage accounts payable and receivable processes.
• Reconcile bank statements and maintain accurate financial records.
• Assist in budget preparation and monitor expenses to ensure adherence to financial goals.
• Coordinate with external accountants for tax filings and audits.

2. Bookkeeping:
• Maintain the general ledger and ensure all transactions are recorded accurately.
• Process payroll and employee benefits, including tax withholdings and deductions.
• Manage inventory records and assist in procurement activities.
• Monitor cash flow and facilitate timely payments to vendors and suppliers.

3. Office Administration:
• Oversee office supplies inventory and procurement.
• Manage office correspondence, including emails, letters, and packages.
• Coordinate meetings, appointments, and maintain office calendars.
• Assist in HR functions, such as employee onboarding and record-keeping.
• Hiring and record keeping of all seasonal employees during the growing season and harvest.

4. Compliance and Regulatory Affairs:
• Stay updated on relevant industry regulations and ensure compliance with tax laws and reporting requirements.
• Assist in obtaining necessary permits and licenses for business operations.
• Maintain confidentiality of sensitive financial and personnel information.

Qualifications

• Bachelor's degree in Accounting, Finance, Business Administration, or related field.
• Proven experience as a bookkeeper, accountant, or office manager, preferably in the agricultural industry.
• Proficiency in accounting software (e.g., QuickBooks, Xero) and Microsoft Office Suite (e.g., Word, Excel)
• Self-motivated and willing to be proactive in the workplace.
• Strong organizational and multitasking skills with keen attention to detail.
• Excellent communication and interpersonal abilities.
• Ability to work independently and collaboratively in a fast-paced environment.
• Above average problem-solving skills.
• Knowledge of agricultural operations and terminology is a plus.
• Dependable Transportation.
• Spanish speaking would be helpful, but not required.
