Job Description and Requirements

We are seeking a reliable and organized Receptionist / Office Assistant to support our growing team. This role serves as the first point of contact for our office and plays a key part in keeping daily operations running smoothly across multiple departments.

Work Environment:
This position is based in an agricultural/industrial setting. The office can be dusty at times, and employees are welcome to wear normal, comfortable work attire (professional business wear is not required). Bonus perk: we have a friendly office dog who is part of the team.


Key Responsibilities:

* Answer and direct all incoming calls for the Parts Department, Accounting, Sales Staff, and Billing team

* Ensure all invoices and customer statements are sent accurately and on time

* Invoices are created by the billing team; this role is responsible for sending weekly invoices and over 400 monthly statements

* Work within company software to post accounting batches

* Assist the Safety Coordinator by maintaining and restocking safety supplies

* Order office supplies for the entire company

* File customer invoices and maintain organized records

* Answer service-related calls for both Manure and Irrigation departments

* Collect and relay information to technicians so service requests can be prioritized

* Scheduling is not required, but coordination and communication are essential

* Track Service Books and Vehicle Inspection Books

* Provide general assistance to the accounting staff as needed

Qualifications

* Bilingual in Spanish and English (required)

* Previous office or receptionist experience preferred; willing to train the right candidate with no prior experience

* Strong ability to multitask in a fast-paced environment

* Excellent customer service and communication skills

* Strong organizational skills with attention to detail

* Effective time management and prioritization abilities

* Strong problem-solving skills and ability to work independently
